Desk to Desk attaches great importance to protecting your personal data. This policy explains what data we collect on www.desk-to-desk.com, why, who we share it with, how long we keep it and how to exercise your rights, in accordance with the General Data Protection Regulation (GDPR) and the French Data Protection Act (loi Informatique et Libertés).
1. DATA CONTROLLER
Desk to Desk, a simplified joint-stock company (SAS) registered in the Lille Trade and Companies Register (RCS) under number 932 110 216, 19 rue d'Amiens, 59800 Lille.
Contact for any question about your data: contact@desk-to-desk.com – 01 88 83 73 37.
2. DATA WE COLLECT
– Forms (contact, "Let us find your office", "Let your offices", viewing request): surname, first name, email, telephone, company, job title, the characteristics of your requirement (location, number of desks, budget, date) and your message, as well as the page from which you are writing and, where applicable, the advertising campaign that brought you to the Site.
– Search alerts: your email and your search criteria.
– Personal account and partner area: email, password (encrypted), favourites, profile information and, for partners, information about the spaces they offer.
– Exchanges with our team: emails, calls and meetings relating to your search.
– Site chat: your messages, any contact details you choose to leave there (all optional) and the page you are writing from; your IP address is kept only as a fingerprint, to limit abuse.
– Browsing: only with your consent, audience measurement and advertising data (see § 6).
3. WHY WE USE IT
– To respond to your request and support you in your office search (pre-contractual measures and performance of the contract).
– To reply to you in the chat: depending on the time, a member of our team or an artificial intelligence, clearly identified as such in the chat window (pre-contractual measures).
– To manage your account, your favourites and your alerts (performance of our terms of use); each alert can be deactivated via the link included in its emails.
– To send you information about our offers and services (legitimate interest, business-to-business prospecting); you may object to this at any time.
– To measure the Site's audience and the effectiveness of our advertising (your consent).
– To secure the Site and combat spam (legitimate interest).
– To comply with our legal obligations, in particular accounting obligations (legal obligation).
4. WHO HAS ACCESS TO IT
Your data is intended for the Desk to Desk team. It is never sold. To move your search forward, we pass on to the operators and landlords of the spaces you are interested in only the information they need (arranging viewings, proposals).
Our technical service providers access it solely to provide their service to us:
– Supabase: database (servers in Ireland, European Union);
– Vercel: hosting of the Site;
– Google: email and calendars (Google Workspace), advertising (Google Ads), maps (Google Maps), automated chat replies (Gemini);
– Resend: sending alert emails;
– Cloudflare: anti-spam protection for forms (Turnstile) and audience measurement;
– Microsoft: audience measurement (Clarity);
– Mapbox: maps;
– Allo: telephony;
– business contact data enrichment and artificial intelligence tools used by our team to process requests.
5. TRANSFERS OUTSIDE THE EUROPEAN UNION
Some of these providers are established outside the European Union, notably in the United States. These transfers are governed by the EU–US Data Privacy Framework where the provider participates in it, or failing that by the European Commission's standard contractual clauses.
6. COOKIES
Some cookies are necessary for the Site to function and do not require your consent: remembering your favourites, signing in to your account, remembering your cookie choices, anti-spam protection, resuming your chat conversation.
The others are only placed with your consent, given or refused in the banner displayed on your first visit:
– Audience measurement: Microsoft Clarity and our own visit tracking, which tells us where a request came from;
– Advertising: Google Ads (conversion measurement and remarketing).
None of these trackers is placed before you make your choice, and refusing is as easy as accepting.
Traffic to the Site is also measured by Cloudflare Web Analytics, which places no cookies, reads no information on your device and does not track you from one site to another: these anonymous statistics do not require your consent. Your choice is kept for 6 months; you can change it at any time via the "Cookies" link at the bottom of every page. Maps (Google Maps, Mapbox, and the Leaflet library via unpkg for the chat's maps) and certain fonts are loaded from their providers' servers, which receive your IP address in the process.
7. HOW LONG WE KEEP IT
– Enquiries and prospects: 3 years after our last exchange;
– Clients: for the duration of the business relationship, then 5 years; accounting records: 10 years;
– Alerts: until they are deactivated;
– Account: until it is deleted;
– Audience measurement and advertising cookies: 13 months maximum.
8. YOUR RIGHTS
You have the right to access, rectify and erase your data, to restrict its processing, to object to its processing (in particular for prospecting purposes) and to data portability, as well as the right to withdraw your consent at any time and to set out instructions regarding what happens to your data after your death.
To exercise these rights, write to us at contact@desk-to-desk.com or at 19 rue d'Amiens, 59800 Lille. We respond within one month; if we have reasonable doubts about your identity, we may ask you for proof of identity.
If, after contacting us, you believe that your rights have not been respected, you may lodge a complaint with the CNIL (www.cnil.fr).
9. SECURITY
Your data is hosted by recognised providers and transmitted in encrypted form (HTTPS), and only those who need it have access to it. Passwords are never stored in plain text.
10. CHANGES
This policy may change, in particular as our tools evolve. The date of the latest update appears at the top of the page.
